This Privacy Policy explains how LetCoaching ("we", "us", or "our") collects and uses personal data through letcoaching.com, LetCoaching applications, and related services (the "Platform"). LetCoaching is a sole proprietorship and Micro enterprise registered under India's Udyam scheme. Our registered address is Mathura, Uttar Pradesh, India.

This policy covers educators, coaches, and institutes using the Platform ("Educators"), learners using an Educator's LetCoaching-powered site ("Students"), and visitors who submit an enquiry or request access through our website ("Prospects"). It should be read with the Terms of Service and, for Students, the relevant Educator's privacy notice.

1. Roles and responsibility

For data an Educator gives us directly, such as account, subscription, and support information, LetCoaching determines the purposes and means of processing. For Student data processed through an Educator's site, the Educator generally determines why and how data is collected, while LetCoaching processes it to provide the Platform and as instructed by that Educator. Educators must give Students an accurate privacy notice and obtain valid consent or otherwise meet their legal obligations.

2. Personal data we collect

  • Enquiry and lead data: name, mobile number, email address, business name, and any message you submit through our contact, demo, or "Request Early Access" forms.
  • Educator account and business data: name, email, phone number, password hash, business name, billing address, GSTIN if provided, subscription details, and support communications.
  • Educator content and configuration: branding, domain information, course details, pricing, videos, notes, recordings, other uploaded content, and any prompts or instructions submitted to our AI-assisted content or site-generation tools.
  • Student account and learning data: name, email, phone number, password hash, enrolments, payment status, invoices, progress, submissions, watch time, attendance, and Platform communications.
  • Payment-related data: transaction identifiers, amount, and status. Payment credentials are handled by the payment provider and are not stored by us as full card number or CVV.
  • Technical and usage data: IP address, browser and device information, pages or features used, cookies, session identifiers, and security/DRM telemetry.

3. Why we use personal data

We use data to respond to enquiries and provide requested demos or onboarding; operate accounts and learning sites; deliver courses, live classes, subscriptions, enrolments, and payment records; generate suggested website or course content when an Educator chooses to use our AI-assisted tools; provide support; secure the Platform and prevent fraud; enforce access controls and DRM; create dashboards and reports; send service, billing, and security messages; comply with legal obligations; and resolve disputes.

We send marketing messages only with the consent or other permission required by law. You can opt out using the unsubscribe option or by emailing hello@letcoaching.com.

4. Consent and children

Where consent is required, we request it through a clear notice identifying the data and purpose. You may withdraw consent by contacting us or using an available setting; this may prevent us from providing a feature that needs the data. Educators are responsible for appropriate notice and consent for their own course operations. Where required by law, verifiable parental or lawful guardian consent must be obtained before processing a child's personal data.

5. How we share personal data

We share data only as needed with the relevant Educator; service providers supporting hosting, content delivery, authentication, payments (currently Razorpay), video hosting and content security (currently Bunny.net), email/SMS, analytics, live classes, AI-assisted content generation, and support; professional advisers, regulators, or law enforcement where required or necessary for safety and rights; and parties involved in a reorganisation, financing, merger, acquisition, or sale of assets. Our sub-processors may change from time to time; an up-to-date list is available on request. We do not sell personal data for another party's independent marketing.

6. International processing, security, and retention

Our providers may process data in India or other countries. We take reasonable steps required by applicable law to protect data transferred internationally. We use reasonable safeguards, including encryption in transit, access controls, monitoring, and secure hosting, but no online service can guarantee absolute security.

We retain data only as necessary for the stated purposes, account administration, legal compliance, dispute resolution, and enforcement, then delete or anonymise it unless law requires retention. As a general rule, we retain Educator and Student data for as long as the related account is active, and for up to 12 months after closure to meet legal, accounting, dispute-resolution, and fraud-prevention needs, unless a longer period is required by law. Enquiry data from Prospects who do not go on to create an account is retained for up to 24 months from the last contact, unless you ask us to delete it sooner.

7. Cookies

We use necessary cookies and similar technologies for sign-in, security, sessions, and preferences. Optional analytics or marketing cookies are used only with any consent required by law. You can manage cookies through your browser; blocking necessary cookies may stop parts of the Platform from working.

8. Your rights

Subject to the Digital Personal Data Protection Act, 2023 and other applicable law, you may request a summary of personal data processed about you, correction or completion of inaccurate data, erasure where appropriate, withdrawal of consent, and nomination of another person to exercise rights in the event of death or incapacity. Students should first contact the relevant Educator for course-specific requests.

9. Grievance and contact

10. Changes

We may update this policy for changes in our practices, Platform, or legal requirements. We will post the revised version with a new "Last updated" date and provide additional notice for material changes where required.
